IRIS automatically displays this screen after setting up a new client through the client browser.
Alternatively:
Click the magnifying glass in the Client field, highlight the client and click View. In Time and Fees: select File | Clients | View.
Click on the Address tab.
This screen is used to insert or amend the client's address details.
Complete these fields as required. Clicking the magnifying glass in the county field displays a list of counties.
If a client is changing address edit these fields. Only use the 'add address' button if the client has more than one address.
Click on the Numbers text box to enter phone, fax, and E-mail information.
The initial address entered for the client will default to being the following:
Main Address
Billing Address and
Registered address (for businesses)
These options will be selected by default. If the address is different for any of these options then additional addresses will have to be added using the Add Address function and selectong the relevant option, this will then remove the relevant selection from the initial address setup for the client.
Used by Company Secretarial for Companies Act 2006 forms. Service address – CA2006(default) is used as the default service address for the person and will be applied as the default service address for any involvements which the person is added as a director/trustee.
Single Alternative Inspection Location, used by Company Secretarial as a location alternative to the Registered Office where records can be located. This address cannot be the same as the Registered Office, as it is an alternative location to the Registered Office where the records can be held.
Service address – CA2006(Default) address and SAIL address are Companies Act 2006 requirements and therefore cannot exist before the 1st October 2009, any changes should only be logged on or after this date.
Used by Company Secretarial for Companies Act 1985 forms which allow a service address for a director.
If the address shown on screen is shared with other clients the Shared address field will be ticked.
Select List Usage to view a list of clients sharing the same address.
Select Unshare where the address is no longer to be shared with other clients.
Use this option to scroll backwards through the list of addresses for this client.
Use this option to scroll forwards through the list of addresses for this client.
Click Add Address to add additional addresses for this client.
Only use the 'add address' if the client has more than one address. If a client is changing an address edit the address fields 'Details/Town/County/Postcode' displayed on the client address tab.
Click this option to enter specify the location of records either at the SAIL address or the Registered office, of:
Members
Directors
Directors' service contracts
Directors’ indemnities
Register of secretaries
Register of resolutions etc
Contracts relating to the purchase of own shares
Documents relating to redemption or purchase of own shares out of capital by private company
Register of debenture holders
Report of members of outcome of investigation by public company into interest in its shares
Register of interest in shares disclosed to public company
Instruments creating charges and registers of charges, England and Wales or Northern Ireland
Instruments creating charges and register of charges, Scotland.
Where an address is no longer being used, click Delete to delete the address on screen.
If the address is shared the option to remove the address from this client only or all clients is displayed and should be selected accordingly.
This option will only be displayed if the screen is being viewed from Client | Select
Use this option to scroll backwards through the list of clients:
If you are viewing in:
Accounts Production, Business tax or Fixed asset register this option will display business clients only.
Personal tax only personal clients will be displayed.
Time and Fees or Whole practice this option will scroll through both business and personal clients.
Click Print to view on screen or print the Client Summary Sheet showing the basic details that have been set up for the client.
Clicking this option will open the e-mail program. The To field will be completed with the email address (where entered) of the selected client. Where more than one e-mail address for the client has been entered select from the list displayed.
This option will only be displayed if the screen is being viewed from Client | Select
Use this option to scroll forward through the list of clients.
If you are viewing in:
Accounts Production, Business tax or Fixed asset register this option will display business clients only
Personal tax only personal clients will be displayed
Time and Fees or Whole practice this option will scroll through both business and personal clients
Click Save to save any changes made on this screen and update the database.
