To access this screen, go to Reports | Incorporation Forms.
This screen is used to generate the relevant incorporation forms IN01 (CA1985 - forms CHF10 and CHF12) for Companies House in printed or electronic format.
The relevant client ID and business name is displayed at the top of the window. The unofficial date of the company formed event is displayed beneath as the Date of Event. To change this date click View Event and adjust the Incorporation date.
To generate the incorporation forms in paper format, then click Print Form (for Companies Act 1985 select whether to generate them in MS Word or Adobe PDF format Forms 10 and 12 will be produced). Once actually printed, the Date Printed fields will display the date the form(s) were printed.
To generate the incorporation forms in electronic format, tick the Electronically Incorporate option.
Consider the other options available, which include:
A tick box for Same Day Incorporation. If submitted before 3:30 pm Companies House will aim for the company to be incorporated before the end of the working day; the fee payable, however, is higher, please refer to https://www.companieshouse.co.uk/toolsToHelp/ourPrices.shtml#Company for further details.
In respect of the Memorandum and Articles to be sent with the submission, the user has the option of an IRISPTP generated version, or another external document. The default will be the IRISPTP version but if the external document is chosen the path must be specified by selecting the Use external document option and clicking on the spyglass to specify the location of the document. Where Use external document is selected, selection should be made of External Articles the default for which is Bespoke Articles.
Include Supporting Data - a tick box for either a Sensitive Name OR Same As Name are available. Should only be ticked if the proposed company name is considered to be sensitive or the same as a name already registered as per rules under Companies Act 2006, please refer to https://www.companieshouse.gov.uk/about/gbhtml/gp1.shtml#ch7 for further details.
Check Company Name Availability - Before any incorporation users are advised to check the availability of the proposed company name with Companies House. This may have already been done manually via https://wck2.companieshouse.gov.uk/ However, a 'same as' company name check will be performed automatically within Company Formations using Companies House Online Service.
'Same As' company name search - by default a 'same as' company name search will be automatically performed on on any paper or electronic incorporation (a setting is provided under Setup | Company Formation Options | General to disable this search if required).
where an IN01 is generated via Company Secretarial, an automatic 'same as' company name search will not be performed on an incorporation generated in paper format only.
If no results are returned the proposed company name is likely to be unique, though this can never be guaranteed by Companies House at this stage. Where results are found a list will be provided which will give an indication as to whether a name is available for registration with Companies House using 'same as' rules under the Companies Act 2006.
Refer to https://www.legislation.gov.uk/uksi/2009/1085/contents/made for further details.
Where 'same as' names are listed users will be prompted to either amend the proposed company name or continue without amending. If users select to continue it is expected that supporting data would be provided within the incorporation, where no supporting data is provided there is a greater possibility that the incorporation will be rejected.
Please contact Companies House if there are any concerns over the proposed company name or its availability for use.
Where 'Same As' Name has been selected under Include Supporting Data an automatic company name search will not be performed on the basis that the proposed company name has been approved by Companies House.
Click on the button Print Form (CA 1985 - Send EINC). This will generate the e-file to send to Companies House. If there is any missing information this will appear in red. Be sure to have set up the Personal Authentication Data for all the directors and the secretary. (Note for Companies Act 2006 submissions it is not possible to use the Personal Authentication Codes).
Close the document. If the data on the document is acceptable click Yes to send the XML.
If there are problems with the submission it may be that the printer setup was not completed correctly - an error message indicating this may be shown. Follow the instructions per the error message or click here.
The company information will be sent to Companies House to be reviewed and incorporated. Once sent, the Date Sent, Submission Number and Status will be filled in. If the form is sent again at a later date, the Date Amended will be filled in and the Status will be amended.
Companies House will send back confirmation of the incorporation date, registered number, a Company Authentication Code and a pdf of the certificate of incorporation. The date, number and code will be updated automatically, the pdf will be available on the Incorporation Forms screen if the user is e-mail configured.
Automatically saved in Communication Tracking - automatically saves certificates that have been returned from Companies House related to the submission.
External File option relates to certificates that have been saved elsewhere and manually linked to the event.
The View option displays the document entered in the External File field. This is usually a PDF document
Other options available:
Form Status – this will display the XML submission details including the status of the submission.
View Event - this will display the Company Formed history item to allow changes to the incorporation details.
