To access this screen, go to AutoMail and press the Generate button from the Letter Request Browser
Click on the Select Template button.
This opens the Template Registry.
On the left highlight the folder that contains the template.
Highlight the template required and click on Select.
If the template is not there click here to create it.
Select either a Single Client by entering the client identifier or Multiple Clients. If Multiple Clients are selected then the Data Mining screen will appear to allow client selection.
If the letter has any tax details or an accounting period within it enter the appropriate details.
If it is a bank letter the produce bank letter tick box will be ticked.
The Log Description field will default to the name of the template, but if a different description is required for tracking the communication on the Communication Log screen, enter it here.
The following options will only be available if a Microsoft Word template has been selected for generation. If you are not generating a Microsoft Word template proceed to step five.
Select Log & Save to create an entry on the Communication Log showing that the letter has been generated, and save the letter as a retrievable document. Select Log only to only create an entry on the Communication Log. If any changes are made to the instantiation of the letter, they will be lost if the letter is reprinted. Select None to neither log the entry on the Communication Log nor save any changes to the instantiation. |

This option is only available if the letter is being sent to Multiple Clients. Select this option to treat each letter as an individual document. If this option is not selected the letters will be treated as one document with page breaks separating the clients. If in doubt tick this box. |

Only available if the logging type is set to Log & Save. Select this option to choose a custom file name to save the document to. In the case of a single client, enter the file name required in the box available. In the case of multiple clients, select the Choose file names option to be prompted for a file name on individual instantiations of the letter. |

If this option is ticked, the letter generation will be permanently logged on the client's communication record. Use this option to prevent the letter from being removed easily at a later date. For example, an engagement letter. |

Select this option to prompt at the time of generation for any system-merged tags which have no data in them. The system will prompt for individual tags during letter generation. |
In the case of an AutoMail 2 (WordPad) letter, click Print Now to print the letter immediately. This will open the Document Processor. Click here for more help on the Document Processor. Select the Print Later option to store the request in the Communication Log for later retrieval and printing.
To abandon the letter generation and return to the Letter Request Browser, press the Close button.
In the case of an AutoMail 3 (Word) letter, select OK to open Microsoft Word. You will be prompted to enter values for empty system tags if you selected that option previously. Additionally, Microsoft Word will prompt you to replace the text for any FILLIN or ASK commands you have used in your template. Return to AutoMail and select the Print Now button from AutoMail to begin the print process for all letters.
Alternatively, to review and print it later click the Print Later button. The letter request will be stored in the Communication Log for later retrieval and printing.
To abandon the letter generation and return to the Letter Request Browser, press the Cancel Request button.
