Now that we have share capital setup and issued to the shareholders and also dividends on this share capital we can produce the Share Certificates and Dividend Warrants. This part of the tutorial also shows how to customise the share certificates and dividend warrants.
From the Share Register select the Share Types tab and highlight Ordinary A shares. Click View.
The details for Ordinary A shares will be displayed, click Certificates.
The Select Certificates screen will appear, leave this as it is and click OK.
On the Share Certificates screen the shareholders should be listed showing their shareholdings and the share certificate number, click Select All and then Print.
On the Share Certificate Options screen leave the settings as they are and click OK.
The three Share Certificates will appear in MS Word, where they can be printed off by clicking Print.
Click Close then File | Exit to close out of MS Word. Back in Company Secretarial click Close | Close to get back to the Share Register.
From the Share Register click on the Dividends tab and click Warrants.
The Dividend Warrants screen displays, click Print.
The warrants will open in MS Word, click Print to print them off.
Click Close then File | Exit to close out of MS Word. Back in Company Secretarial click Close to get back to the Share Register.
Click Close to exit out of the Share Register.
Go to Setup | Document Templates
The Issued Templates/Source screen displays, on the list will be the master copies of the Share Certificate and Dividend Warrant issued by IRIS. These cannot be changed, a copy must be made.
Highlight the Dividend Warrant and click Copy Master.
A screen prompting 'File CSDIVWAV.DOC copied. Do you want to view/edit the file now?', click Yes.
The copy will open up in MS Word. (Alternatively click Edit Copy.)
Items on this copy can be changed by adding and removing the tags. Just to show how it works we will replace the first line of the business address with the third line of the business address on top of the Dividend Warrant. The tag name is LMDIVICADDRL3. Highlight the LMDIVICADDRL1 tag on top of the Dividend Warrant.
Click Insert | Field. Where it says Categories click the down arrow and click Mail Merge.
Select Merge Field in the Field Names Column.
Click Field Codes and in the Field Codes box type LMDIVICADDRL3 after MERGEFIELD (leaving a space.)
Click OK. This tag will appear on the template. Click File | Save
Click File | Exit to close out of MS Word. Back in Company Secretary click Close.
Run the Dividend Warrant to MS Word using the steps above and the third line of the address should now appear where the first line of the address would have.
