Job Planning

Introduction

The Job Planning screen allows you to plan for jobs. You can see what jobs have not yet been created, which are in progress and if required the jobs that have already been completed. This gives you a full overview of the status of jobs for the clients under a service.

You can also see the status of the current jobs and quickly see which jobs need more attention.

 

This allows you quick and easy access for creating each new job as it is needed. You can create these on a job by job basis especially useful if you need to customise the details. Alternatively, you can create multiple jobs at once which is very useful for the Personal Tax Return job saving you time.

You can also access the client screens to review any further details on the client and review any Notes made on the client or on the service.

 

How to use

  1. Access the Job Planning screen from the PM icon by right-clicking and then selecting from the menu.

  2. Select the service you are planning for. This will then find all the clients subject to the criteria set (for example, specific period ends).

The default settings are to look for jobs that have been Not yet created, Pending and In Planning Stage. The system will also look for jobs where there is a service but there are not enough details to say what the next job should be. These will be detailed as No Next Job and more details on this can be found through the Quick Guide.

You can also restrict the client search to all clients under a client manager/partner. When you then click Find to search for all matches on the clients.

You can then re-order the search by clicking on any of the columns.

Once the search has finished you can view the client, service, job (if created) or put the job into planning stage.

Also, after you have created the jobs needed you can then change the service and re-search and start again.

 

Explanation of the job Status

Not yet created the service exists and the search criteria shows the job is ready to be created.

 

Pending - the job has been created but no further details are there.

In planning stage - this can be used to show the staff members assigned to the stages or in the process of being assigned.

Scheduled - a start/finish date has been supplied.

Completed - the job has been marked as completed.

 

Extra Information

Once a search has been found there are additional screens that you can get into that are not directly related to the job planning screen.

By highlighting one of the lines and then clicking Job you can access the client’s job profile and update any stages as necessary. You can also access the Assignments part of the job as well, and for more details of that please click here.

You can also access the Service for that client and amend any notes or change any details within.

Finally, you can open the full Client Information tabs and review details ranging from the address to the current WIP balance.
