Each job can have its own profile. This defines the stages the job goes through from start to finish. This can be as detailed as you like, though the job will take longer to complete, the more detail you add, so ensure you have the most important stages entered.
To edit the stages of a job you will need to:
Log into System Maintenance as MASTER and then go to Practice Management | Job Types/Profiles
Highlight the Job in question and click Profiles.
You then have several options within this screen. You can Add, Edit, Delete or Re-order the stages that are currently there.
If adding or editing a stage, then you have several extra options with each one.
These include:
This allows you to have stages within the job profile complete automatically. These are based on events occurring from another product. For example, when you finalise a set of accounts within Accounts Production this event will complete the appropriate stage in that Client’s Job Profile.
This allows to you to exclude certain stages from types of clients. For example, stage 6 may only be relevant to Ltd companies, so the stage can be set to exclude all other types.
This allows you to define the important stages that have to be completed
by a certain date.
The Due Date can be set a number of ways and examples of these are:
To have stage 6 completed 20 days after stage 4
Stage 7 to be completed 30 days before the statutory deadline
Stage 9 completed 60 days after the job scheduled start date
It is advisable and important to set up key dates. Let Practice Management
take the strain.
This allows you to set responsibilities for certain stages. The options are the Client Partner/Manager or the Job Manager/Assignee. The advantage of this is it makes it quick to allocate staff. Each staff member can report on which stages they have outstanding that are allocated to them.
