Introduction to backing up IRIS Docs

Introduction

Data Backup is critical to ensure that your data is secure in the case of disaster.

 

What to backup

There are two parts to backing up the IRIS Docs data:

 

IRIS Docs SQL Database

This database stores all configuration settings within IRIS Docs. The configuration consists of data such as user details, security, filing cabinets, information types and standard documents.

The database also holds data directly related to the physical file. This information consists of metadata (Document References), virtual and physical file location and audit information.

IRIS Docs will be installed in a SQL instance of “ServerName\OpenDocs” (“ServerName” being the actual name of the server). The database by default should be called Series6 and consequently, the log file called Series6_log with an .ldf extension.

 

Secure Information Store – (Secure File Store)

The secure information store holds the physical documents that are saved to IRIS Docs. These are held in the S6 folder on the server. (for example, C:\S6)

 

How to Backup

How the files are backed up depends upon the database engine being used. Different tools are available depending on whether you are using the Microsoft SQL Server Express version or the full version of SQL (Workgroup or Server versions).

The Database (SQL) files cannot always be included in your normal backup strategy. The files may need to be backed-up from the location where they are used, and then copied to the backup media.

The IRIS Docs file store files can simply be backed-up as normal that is, copied and pasted to the backing up device.

All systems administrators should be aware of these locations and need to make sure they are being backed up correctly. It is your responsibility to make sure your data is safe.
