IRIS Practice Dashboards Help

 

Purpose

The IRIS Practice Dashboards allows you to interrogate your IRIS SQL database, accessing your practice data from IRIS Time & Fees and Practice Management, at the touch of a button.

You no longer need to run reports to paper, you can see report results instantly on screen, filter them, drill down or export them to Excel as a CSV file. It tells you what is going on within your business by displaying all your KPIs instantly.

 

How it Works

Each IRIS Practice Dashboard talks to specific IRIS offline data. You can drill down and view various information being presented in different styles and formats. The KPIs talks to the results calculated from the other Dashboards.

The Dashboard allows you to look in to the quality of your IRIS data, quickly view and sort it based on how you setup your IRIS database.

No data is entered from the IRIS Practice Dashboards into your IRIS database, the IRIS Practice Dashboards only queries and reports on your underlying data. All amendments to your reported data can only be done by making the changes in your IRIS product suite. Any changes to your IRIS database are available to see the following day.

Technical Details

The IRIS Practice Dashboards makes use of Microsofts .Net 4.0 framework and passively queries a live IRIS SQL database ensuring only the IRIS practice suite can change client data. The IRIS Practice Dashboards itself has its own database which is used to service and manage reports.

 

How to get the most from the IRIS Practice Dashboards

The IRIS Practice Dashboards relies upon good housekeeping of your IRIS database and maximising on the Time & Fees setup features available. We have also included our idea of an example database structure to help you get the most from both your IRIS database and the IRIS Practice Dashboards.

We have built the IRIS Practice Dashboards around best practice use of IRIS, on the basis that you use IRIS suite to its full capability. The full features of the IRIS Practice Dashboards can only be enjoyed by fully utilising your IRIS product suite.

The IRIS Practice Dashboards' ability to show you information by Partner, Manager or any of your bespoke categories is a great way of reviewing your database beyond that of the fields available in IRIS Data Mining.

You can refresh the results of any of the Dashboards where you see the Refresh Data icon in the top left hand corner of the Dashboard.

You can export the displayed results in the detail screen on any of the Dashboards to a CSV file where you see the MS Excel icon in the top right hand corner of the Dashboard.

All of the column headings in the details screens of the Dashboards are clickable allowing you to sort the results from low to high or A to Z and vice versa.

 

Setup Summary

This setup manual will guide you through each Dashboard and explain how you complete your IRIS database to populate the IRIS Practice Dashboards filtering fields. It tells you where the IRIS Practice Dashboards is talking to in the IRIS suite so you can update your IRIS database to populate the information through.

Each dashboard is explained in its own section, starting with a screenshot of how the Dashboard looks when fully populated by maximising your IRIS database.

There is a short narrative on key points to note on the specific Dashboard followed by a line by line breakdown of the key features of the tab and whether that feature is reliant on the following four outcomes:

There are hyperlinks to jump you to the required Global Dashboard for additional setup or to IRIS time ledger screenshots to show where the changes are required in your IRIS database.

The Global Dashboard can only be accessed by the Administrator logon.

We have left the KPIs to last as this is reliant on the setup of the other Dashboard first.

 

Understanding Your IRIS Database

90% of the IRIS Practice Dashboards relies upon data stored via IRIS Time & Fees, the remaining 10% relates to your use of Practice Management.

IRIS has standard category database fields and also allows you to create six more specific to your business. Categories are available within IRIS Time & Fees.

You can also filter your database on Attributes; these are created via Practice Management. Attributes give you much more flexibility, allowing you to create as many as you like with multiple options where you can set them to pick a single result or multiple results.

Categories are traditionally the only filters available in the selection fields for IRIS Time & Fees reporting and the Attributes are used more for selection criteria on selecting groups of clients in IRIS Automail.

Both can be easily maintained and set for a grouping of clients when using Data Mining in IRIS Practice Management.

It is also important as to how you label the identifiers within some of the Categories. In some cases you will see in our examples that the identifier starts with a number, the low to high numbering allows you to decide the order in which the results are listed in the IRIS Practice Dashboards.
