Clients

The Client feature provides basic information about your clients and is synchronised between the IRIS Accountancy Suite and IRIS Elements following any updates to the basic information.

A user can find a client through searching, filtering, tabular or via the grid view.

The actions you can perform on a client includes:

General information

This section displays all of the personal details for the client or business.

All of the fields within the General Information section can be edited by entering information directly into the fields, selecting a value from a drop-down list or clicking on a radio button and clicking Save.

The information will be saved and will be synced with the IRIS Accountancy Suite.

 

Contact Information

This section displays the Phone and Email details for a client.

To edit the details, click on the relevant line and click Edit. The content and descriptions can then be amended before clicking Save.

To add a new contact, click Add new, select the Contact type, Email or Phone and complete the remainder of the fields, Label, Content, Description and Associated address and then click Save.

 

Addresses

The address section (if populated), will display as closed accordions when the client record is first opened.

All addresses linked to the client record (Individual and Businesses) are uploaded from the IRIS Accountancy suite to the IRIS Elements hub.

If an address is available, it can be edited by opening the accordion and clicking Edit. The fields can then be updated and saved.

Clicking Cancel when the address is in an editable state will cancel any changes being entered and revert back to the original address.

Click Add new to add a new address to the client record.

 

Tax

This section displays the Tax information for the client.

All of the fields within Tax can be edited. Any new information entered or amended will be synced with the IRIS Accountancy suite.

Relationship Information

The relationship information displays all of the entities that are related to the business client.

The information is uploaded as part of the initial data when the practice is first registered for Elements.

Each of the entities can be updated by clicking on each of the items, however any changes entered will not be synced with the IRIS Accountancy suite.

The corresponding fields within the IRIS Accountancy Suite can be found in the Related tab within Client Maintenance.

Prospects

The Prospects feature enables users to create potential clients and capture basic information about them.

Like the Client feature,  you can find an existing prospect through searching, filtering, tabular or by grid view.

The actions you can perform on a prospect includes:

Creating a prospect

A new individual prospect is created by selecting Create new prospect from the main prospect page.

The form displayed can be used to capture as much information about the prospect as required, however only a title, gender and full name are required to save the record.

When selecting the title, the gender is automatically selected but can be changed. Selecting Dr will allow you select either gender.

The residency address (as opposed to the correspondence address) is required to run an ID check but if it is not captured at this stage, it can be entered later.

If the minimum amount of information is captured, clicking No I’ll do it later will save the record allowing you to come back to it. The record can be found within the prospect browser.


If enough information has been captured to run an ID check, check the consent box and you will be able to run the ID check.

If permissions have not been enabled, the Perform Check option will not be enabled.

Navigating away from the prospect creation page without clicking No I’ll do it later, will display a warning message advising that any changes entered will be lost.

 

 

Editing a prospect

A prospect record can be edited at any stage and all fields are editable.

The prospect record can be located and opened from the prospect browser page.

Performing an ID check

To run an ID check, the minimum amount of information required is the full name, DOB and residency address.

Once all fields are populated, an ID check can be run by clicking on the consent box and selecting Perform Check.

The information submitted will be processed and if successfully submitted, a successful submission page will be displayed.

Clicking Finish on the successful submission page will take you to the Checks tab.

If an ID check is run, the results will be displayed within this tab.  

The risk bar shows the risk the prospect poses from the checks run against them.

The risk profile can be amended along with the next review date.

Creating a client

Once an ID check has been completed (either passed or failed), a prospect can be converted to a client by clicking Create client.

A Client ID will need to be entered. If an ID is entered but already exists, a warning message will be displayed.

Upon conversion, the newly converted prospect will be synced to the IRIS Accountancy suite.

The prospect will no longer appear within the Prospect browser page, it will now be found within the Client section of the Elements hub.  

 

Audit tab

The Audit tab will display the details of the ID check that has been run.

It will show the date, time, risk profile, if the risk profile has been overridden any notes that have been entered, and the user who ran the ID check.

Any ID check run, risk profile updated or if the review date has been updated will be recorded here.

 

Deleting a prospect

Once a prospect has been created but is no longer required, it can be deleted by opening the prospect record and navigating to the bottom of the page.

Deleting the prospect will delete all information associated with the prospect from the database and remove it from the prospect browser page.
