The options under Setup will affect all clients within Company Secretarial, so be sure that the changes made here are ones that need to be changed for all clients.
Below describes each option from the Setup menu on the toolbar in more detail. There are several options under this menu which are as follows:
Form Options - allows default options for logos and which format the Company Forms are to be produced in.
Document Templates – allows the share certificate and dividend warrant templates to be amended.
Shortcut Toolbar – displays/removes a toolbar with shortcuts to the key areas of Company Secretarial. Shortcuts are available for New Client, View Client, Company Forms, Blank Forms, Share Register, Meetings, E-file response and Help.
Practice Options – information relating to the agent (for example, name, address)
SIC Codes – a list of codes that can be used to identify the business classification of clients.
Accountants - includes alternative names and addresses of accountants
Go to Setup | Form Options | Logos. This screen allows the logo on the Companies House forms to be changed to any selected jpeg image file.
The logo is only available on the MS Word documents.
The Practice logo field is where the path to the jpeg image needs to be entered. Whatever is entered here will apply to all clients. If this field is blank then the default IRIS image will appear on the forms.
If a particular partner requires a different logo to be used on the Companies House forms then enter the path to the relevant jpeg image file next to their name and it will apply to any of their clients when the form is generated. If there is no specific image other than the standard then leave the path field next to the partners name blank.
To ensure the client is linked to the relevant partner, go to Client | View, select the Categories tab and then enter the relevant partner into the Partner responsible field.
Go to Setup | Form Options | Document Format. This screen allows the default to be set for which format Companies House forms are generated in i.e. Microsoft Word or PDF and whether to default that the document is to be Electronically filed. Select which option is to be the default and click OK to save the changes. This change means that every time the Company House forms screens are opened the default will remain as per this selection but can be changed from document to document if necessary.
Forms that are electronically filed write the necessary information into a new message of an email application such as Outlook or Outlook Express. This can be overwritten by selecting Force Manual E-File which will produce the required content for Companies House forms in a separate screen. The content can then be copied into any email application.
Go to Setup | Form Options | Form Production. Alterations to settings here affect all clients. To over-ride the system settings for a particular client go to Edit | Form Options | Annual Return/Form 42
Annual Return - this screen has the following options for each occurrence of the annual return (Form AR01). Choose between:
Automatic - generation of the annual return and the relevant schedule. Choose to automatically generate a Full shareholders list included every time or Only include the shareholders list if there are changes during the year, with a full list every three years.
Manual – User prompted at production, which will ask, every time the AR01is printed, whether to Generate full shareholder list?.
Form 42 - this screen has the
following options for each occurrence of the annual return (Form AR01).
Choose to:
Produce full form
Produce supplementary sheets only
Go to Setup | Form Options | General. Here the email Inbox Scanner can be selected to be launched automatically when starting Company Secretarial instead of manually launching it from the Administration menu.
Go to Setup | Document Templates. The screen that appears is called the Issued Templates/Scripts Etc screen. This screen shows a list of templates and scripts that IRIS has issued, these can be viewed or amended.
Below is the list of options that this screen gives:
Print List - prints a list of the issued templates.
Close - closes out of this screen.
Further details are discussed in the share certificates and dividend warrants section.
IRIS issues a standard dividend voucher and share certificate. It is however possible to take a copy of the standard (Master) and create an editable copy. This can be tailored to suit your practice.
View Master - this opens the master template into a Microsoft Word document. Please note that this is not an editable copy. Changes made here will not be saved.
Edit Copy - this allows editable access to the copy of the template.
To add a new tag:
Select Insert | Field
Select Mail merge in the Categories column
Select Merge field in the Field names column
In the Field codes box add the tag name after MERGEFIELD

Copy Master: This makes a copy of the master template. The screen will show ‘Copy’ against any templates that have copies. If a copy exists then the copy will always be used when printing that particular document.
Delete Copy: Gives the option of deleting the copy of the master template. The master template cannot be deleted
There are currently just two templates available. The share certificate and the dividend warrant.
This is a toggle switch. By selecting this, a toolbar featuring the following options appears:

Go to Setup | Practice Options, the practice options screen appears. These options are mainly used within the Practice Management program. The four different tabs are explained below:
This is the option mostly used within Company Secretarial. This is the address of the accountant/auditor.
Other options on this screen are as follows:
Full Names - to input the full name to be used in Accounts Production depending on whether the agent is acting as an accountant or an auditor.
Address Used - to see a list of any other clients that use this address.
ELS/Internet - will display the Tax Return Options screen; click the question mark to see more help regarding this option.
C/H identifiers - displays the Companies House Identifiers screen. Enter the Presenters ID, Authentication Code and email address registered with Companies House for electronic filing. The details activate the use of electronic filing.
The general tab is for general settings that are used within Practice Management. The year end day and month of the client should be put in the top box, for more information regarding this option click the question mark in the top right hand corner of the screen.
This screen contains information about importing and exporting information from Time and Fees, for more information regarding this see Time and Fees help.
This screen is regarding the completion of tasks within Time and Fees for more information regarding this go to Time and Fees help.
Staff members are used to recognise the person who is using the system (throughout IRIS) and to be selected for inclusion as a contact on Company House forms (in Company Secretarial). Setting up and maintaining staff belongs to System Maintenance and the detailed procedures for this may be found in the System Maintenance manual. Go to Help | Manuals, click for manuals for other products.
Go to Setup | SIC Codes. The SIC Codes screen displays listing all the SIC codes available within IRIS. Click New to add new SIC Codes or View to see more details or amend existing SIC codes. Click Print to print a complete list of all entered SIC Codes. Close exits the screen.
SIC codes are used on Form AR01and can be linked to a company by going
to Client | View, select the Categories and there is the option
to apply four separate codes to this business.
Select View from the SIC Codes screen to display the SIC
Code and its Description.
The description can be changed and the SIC code can be changed by selecting
Advanced | Change Identifier at
the bottom of the screen. There is an option to identify if the SIC code
is obsolete and from which date. Selecting Delete
will erase the SIC code. Click Save
to save the changes and Close
to exit back to the list of SIC codes. The
buttons can be
used to move between the different SIC codes.
Select New to display the New SIC Code screen where new SIC codes can be set up. The identifier must be unique and must not have been used before, and the description field can be filled out with the description needed to appear in IRIS. Click OK to save the changes or Cancel to close out without saving the changes.
Go to Setup | Accountants, the Accountants screen will be displayed, this lists all the accountants set up on the database, used in all the IRIS products not just Company Secretarial.
Clicking New will display the Accountants screen where a new accountant can be set up. In the Accountant field put the id of this accountant, this id should not have been used before. Fill the rest of the screen in with the details of the new accountant, when finished click Insert to save the changes and go back to the list of accountants or Cancel to close without saving the changes.
Select View to display the details
of the Accountant, including the address used and whether it is a Firm, Partnership or Individual,
which is used on Form AA03. Displayed information can be amended. Select
Full Names to display the Accounts Production
Alternative Titles screen where i the titles that are to be used
when acting as accountant and auditor can be amended. At the bottom of
this screen there is the choice to use the Plural
or Singular form when the accountant/auditor
is referred to in the accounts. Click OK
to return to the Accountant screen.
The Address Used option displays
a list of other clients that use this address. Select Delete
to remove the entry and under Advanced,
the identifier for the accountant can be changed. The
can be used to move between the different accountants details, click Close to exit out of the screen.
Click Print to print a list of all the accountants or Close to exit out of the screen.
