It is possible to generate Minutes and Resolutions for several different events.
To setup new minutes or resolutions:
Go to Edit | Meetings. The Meetings screen displays.
Click New.
On the Basic tab select the type of meeting the minutes/resolutions are for.
If the meeting is a class for shares then select the share type from the drop-down menu on the right.
Enter the date and time of the meeting into the boxes below. A brief description can be entered, which is purely for reference only and will not be included on the minutes or resolutions.
If there is any other business then this needs to be entered into the Text for 'any other business' for minutes box.
Select where the meeting was/is to be held at below this. If the address where the meeting was/is to be held at is other than the registered office or main address, select elsewhere and click specify to enter the address details. If any of the print options are needed, tick the corresponding tick box.
Next, select the Resolutions tab.
If the resolution(s) required are standard resolutions, select New | Standard Resolutions to display a list of all available standard resolutions. Resolution on the right-hand side are those selected for inclusion within this meeting.
Select any other resolution from the left if required and click OK. Follow through any screens displayed to enter the resolution.
If the resolution(s) required are not available in the standard list, select New | One-off Resolution. This will create a blank resolution for which the description, type, heading and text fields will need to be filled in.
Once complete, select the Attendees tab.
Click New to enter in the attendees of the meeting. This will bring up the New attendees screen, choose the relevant persons by selecting the different attendees field. If the attendees are in attendence only, select the In attendence option. To specify the chairman of the meeting, highlight the relevant attendee and click Chairman.
On the Minuted tab, if an event is relevant to the meeting, a link can be made.
If a standard resolution has been chosen, the relevant event will have already been linked. To add a new link, click Add link. This will bring up the Events not yet minuted screen. Select the relevant event(s) and click OK.
Click Minutes to display the minutes report using MS Word. For individual prints of resolutions which can are produced as copies of the resolutions for filing with the Registrar, select the Resolutions tab and click Print.
