To access this screen, go to AutoMail and select Templates from the Letter Request Browser.
The template registry is where the AutoMail templates are stored and maintained. The templates are organised into subfolders, in the left-hand pane of the screen.
The right-hand pane of the screen shows the available templates when a folder on the left is selected.
The template registry contains:
IRIS-supplied 'standard' templates, which are marked with a red s symbol over the template icon.
User-created templates
There are two main template types that can be viewed and created within the template registry:
Old AutoMail templates, which are based on the WordPad Letter template editor. These are signified by a square icon with horizontal lines across it.
New AutoMail templates, which use Microsoft Word as the editor. These are signified by a 'W' icon.
The templates issued with the IRIS system are stored in the folders IRIS Templates, IRIS Word Base Templates, IRIS Word templates no header & footer, and IRIS Word templates with header & footer. When creating your own templates it is advisable to store them in the User Templates folder so you can find them easily.
The standard templates that AutoMail contains are examples, provided as a start point and to demonstrate how the package could be used. Whilst the templates are updated periodically when best practice changes, IRIS Software Limited can not guarantee that they will always be up to date. It is, therefore, strongly recommended that all templates used within AutoMail are checked for content before being relied upon.
The templates stored in folders/sub folders in the Template Registry can be maintained through using groups. A group may contain sub-groups and/or templates.
To maintain groups, click on Group across the top of the Template Registry screen. To create a new group (folder) click on Group | New Group
The following options are also available from the Template Registry:
Icons across the top of the screen: |
|
Delete Group |
This deletes the highlighted group or sub-group. The group must be empty of Templates. |
Import Template |
This will import any new Templates (files with a .sll extension) that have been manually added to a TT\Data\Notes sub-directory (for example TT\Data\Notes\_USERT). New Templates added will appear under the User Templates group into a sub-group. Note: This should not be required in the new AutoMail with Word. |
Expand Nodes |
This will expand all groups containing sub-groups, in order for all groups and sub-groups to be displayed. |
Reduce Nodes |
This will collapse all groups containing sub-groups, in order for only groups to be displayed. |
Configure |
Use the Configure button to select the column headings to list the properties of the templates to be listed on the right hand side of the screen. |
New Template |
This will create a new Template. It will open the New Template dialogue box. |
Properties |
These are the properties that can be set for a template. To use this highlight the template and select the Properties button |
Edit |
This will open the highlighted Template that has already been created by you and allow you to edit it. It will take you into the Template Editor (for old AutoMail) or Word for new AutoMail. A standard IRIS Template cannot be edited, a Template must be created based on the one that needs to be edited. |
Close |
Close will exit the Template Registry to the main AutoMail menu. |
To delete a template, the Communication Log must be cleared before the template can be deleted. This is a log kept each time the template has been generated through AutoMail. Once this has been cleared, right click on the template you want to remove and click on delete to remove the template from the screen.
