How to show the Current Liability tag in a AutoMail template

Introduction

In a AutoMail letter it is possible to add the current tax liability with next year's on account payment to produce the amount due on January 31st.

 

To Produce an AutoMail Template with the current liability tag added to the next year on account you need to:

Check a final tax computation has been run for Personal Tax

For information to show in AutoMail a Final Tax Computation must be run from IRIS Personal Tax Module:

  1. Form the IRIS Main Menu, click IRIS Personal Tax.

  2. Click the magnifying glass to display the Client Browser. Select the client.

  3. Go to Reports | Tax Computation and select Final. Make sure Payments on Accounts is selected and click OK.

  4. Select Screen or Print the Personal Tax Form and click OK.

The Personal Tax figures have been calculated and now accessible in AutoMail.

 

Insert the amount due 31st January in the AutoMail template

To insert these details in to a Word 2007/2010 document, a Word 2003 document and WordPad document.

For Microsoft Word Templates:

  1. From the IRIS Main Menu, click AutoMail. The Letter Request Browser screen displays.

  2. Click Templates to display the Letter Template Maintenance screen.

  3. Highlight the Word template and click Properties. The Edit Properties screen displays.

  4. Go to Context Type, click the drop-down and select Individual Personal Tax. (These will then display the relevant tags required). Click OK.

  5. Highlight the Word Template and click Edit to display the Word Template.

  6. To add the tags for CYBalLiab and NYOAC, minimize the document to display the Tag Selection box.

  7. Expand the Particular Client Folder | Individual | Tax Information | Current year and select CYBalLiab

  8. Expand the Next year folder, select NYOAC and click Refresh.

  9. Expand the document and place the cursor where you would like to insert the tag.

 

For versions of MS Word 2007 and later

To insert and add the two tags together:

  1. Click the Insert tab and in the 'text' section click Quick Parts | Field

  2. In the Formula heading, type, for example, (=A+B)

  3. In the Number format heading select the format require, for example, (#,##0.00), then click OK.

This will be added to the document and will be displayed as {=A+B /#"#,##0.00}

  1. Replace A and B and insert tags for LMCLCYBalLiab and LMCLNYOAC.

  2. Place the cursor in A and Delete.

  3. Click the Mailings tab and in the 'text' section click Insert Merge Field. Highlight LMCLCYBalLiab and click Insert.

  4. Place the cursor in B and Delete.

  5. Click the Mailings tab and in the 'text' section click Insert Merge Field. Highlight LMCLNYOAC and click Insert.

The formula will now be displayed as:

{={MERGEFIELD "LMCLCYBalLiab" }+{MERGEFIELD LMCLNYOAC} /#"#,##0.00}

  1. Save the document and generate the letter.
