The Document Processor

Introduction

The Document Processor is where selected documents can be previewed, printed and edited. It is also possible to change the page setup and export client details to a CSV file.

The Document Processor is split into three parts; the left column lists the documents, the top right box contains the clients that have been selected and the bottom right box contains the template code with the tags replaced with the appropriate database information.

 

To access this screen, go to AutoMail and Generate a WordPad-based template

 

The menu bar allows access to extended options that are not available from the icons on the main screen.

File

Save changes

If changes are made to the document for this client they can be saved with this option.

Paper Source 

Adjusts which tray the printer will use when printing. Different trays can be set for the first page and continuation paper if required.

Page Setup

Adjust the paper size, page margins and paper orientation. Advanced printer settings can also be reached from this option. Note that any changes affect AutoMail globally.

Print Preview

Preview the document prior to printing.

Print

Prints the current document, the documents all of a certain type or all documents displayed.

Exit

Returns to the Generate Letters screen.


Edit

Undo

Undo the most recent change to the document.

Cut

Removes the highlighted text from the document and move it to the clipboard.

Copy

Copies the highlighted text from the document to the clipboard.

Paste

Copies the latest item moved to the clipboard and pastes where the cursor is flashing.

Select All

Selects the entire document.


Style

Font

Adjust the font for the currently selected text in the current document.


Options

Export to CSV

Allows creation of a Comma Separated Variable format export file that can be mail merged into MSWord or opened in MSExcel.

Restore letter to default

Removes any changes made to the document in the document processor and reverts to the original document based on the standard template.

Toggle List Window

This will display the document (lower right box) so it takes up the whole Document Processor. Pressing F5 on the keyboard will do the same.

Check for Unknown Tags

Search the document for unknown tags and prompt for replacement text. This is also performed automatically when the document is printed.



Visual Options

Background Colour

Changes the display background colour. Note that this will not affect the print output.

Toggle Logo

Adds or removes the automail logo from the corner of the screen.

Strip Colour from File

Removes any colour text in the file, allowing printing on a black-and-white printer.
