How to integrate between Accounts Production and MyWorkpapers

Introduction

This topic explains how to automatically export a trial balance from Accounts Production and import this into MyWorkpapers.

Client data in Accounts Production can be used to create clients within MyWorkpapers. Trial balance figures can be automatically exported and populated into the Audit file in MyWorkpapers; journals can then be imported back into Accounts Production.

Step 1 – Entering the Practice Details

  1. From the Accounts Production tool bar select Setup | Practice Options

The following screen displays.

  1. Click MyWorkpapers.

 

The following screen displays.

  1. Complete the Practice URL field.

  2. Enter the User Key and Private Key. To find these keys please follow steps 5 -7.

 

  1. Within MyWorkpapers  click the Profile icon.

  2. Select Edit Profile | Integrations

  1. Click Enable Integration and the User Key and Private Key will display.
  1. Click OK.

Step 2 – Entering the Client details

  1. From the Accounts Production tool bar select Client | View

The following screen displays.

  1. Click the magnifying glass next to MyWorkpapers Company field.

 

 

The following screen displays.

  1. Select one of the following options:

 

  1. If,
  1. Click OK.
  1. Click OK.

  

  1. Click OK on the MyWorkpapers Client screen.

  2. Click Save then Close.

Step 3 – Exporting the Trial Balance into MyWorkpapers

  1. Once the trial balance is ready to be exported, from the Accounts Production Quick Launch toolbar select . Alternatively, within the Posting screen, select Advanced | Export TB to MyWorkpapers

  1. When the client is correctly linked between Accounts Production and MyWorkpapers the following screen displays.

  2. Highlight the relevant posting entry and click OK.

 

 

The following screen displays f the period has not yet been created within MyWorkpapers.

  1. From the drop-down list select the required audit template and click OK.

 

The following warning displays.

The following message displays.

  1. Click OK.

Step 4 – Making adjustments’ in Accounts Production and exporting to MyWorkpapers

  1. From the Accounts Production toolbar select Posting | Select

The following screen displays.

  1. Highlight the relevant posting entry and click OK.

 


The following warning displays, as a trial balance has already been exported to MyWorkpapers. If further posting are made, another export should be performed.

  1. Click Continue.

 

The Posting screen displays.

  1. Make adjustment journals’ as required.

The following warning displays:

 

Once Yes is clicked the following message displays.

  1. Click OK.

Step 5 – Re-exporting the Trial Balance into MyWorkpapers

  1. From Accounts Production select Posting | Post File Maintenance | Entries, highlight the entry that has already been exported and click Change.

  2. Select the Reset trial balance export to MyWorkpapers options and click OK.

 

The following message displays.

  1. Click Yes and then follow the instructions in Step 3.

Step 6 – Making Journal Adjustments within MyWorkpapers

  1. From MyWorkpapers, select the relevant client.

  2. Select My Files | Clients, select the client from the list, then select Files and click on the file you want to make adjustments to.

  3. Click Journal Entries, enter a Journal Description and click Add.

 

  1. Next to the Type of Adjustment field click the drop-down arrow and select Adjusted.

  2. Enter an Account Code.

 

The Account Code field uses a ‘smart’ search. Users can either begin to type the Account Description or the Account Code and select the appropriate Account code; make using the Accounts Production chart of accounts much easier.

  1. Complete the Debit/Credit field.

Step 7 - Importing a Trial Balance from MyWorkpapers into Accounts Production

  1. From the Accounts Production toolbar, click Client | Select
  1. Highlight the relevant client and click Select.
  2. From the Accounts Production toolbar, click Posting. Alternatively, from the Accounts Production toolbar click, Posting | Select | highlight the relevant Posting Entry | OK
  1.  Either select Advanced | Import from MyWorkpapers or start a new posting batch using a single sided entry and select MyWorkpapers from the Activate import from field.

The following screen displays.

  1. Select the Annual trial balance option.

  2. An import map will need to be selected (if one hasn’t been selected previously). Click the magnifying glass in the Import Map field:

 

The following screen displays.

  1. If the MyWorkpapers client is using an IRIS accounting structure, then the Standard Import Map should be highlighted. Click Select.

  2. Currently we only provide import maps for IRIS, QuickBooks Online and Xero MyWorkpapers accounting structures.

 

  1. Click OK and the following screen displays.

This is similar to the screen that appears when importing into Accounts Production from QuickBooks Online, Xero or via CSV (see this help for how this screen works).

If there are any unmapped accounts, they will appear in red and an applicable account can be selected by clicking the magnifying glass in the IRIS Account field.

 

Once all adjustments are mapped select Import and the following confirmation displays.

  1. Click OK.

 

The posting screen displays with the MyWorkpapers trial balance:

Step 8 – Importing adjustments from MyWorkpapers to Accounts Production

  1. From the Accounts Production toolbar, click Client | Select

  2. Highlight the relevant client and click Select.

  3. From the Accounts Production toolbar, click Posting. Alternatively, from the Accounts Production toolbar click, Posting | Select | highlight the relevant Posting Entry | OK

The following prompt displays if adjustments have been made in MyWorkpapers that haven’t yet been imported into Accounts Production.

  1. Click OK.


  1. From the Posting screen select Advanced | Import from MyWorkpapers.

  2. Select Adjustments.

 

An import map will need to be selected (if one hasn’t been selected previously). Select the picker in the Import Map field.

  1. If the MyWorkpapers client is using an IRIS accounting structure, then the Standard Import Map should be highlighted, then click Select.

 

  1. Click OK and the following screen displays.

This is similar to the screen that appears when importing into Accounts Production from QuickBooks Online, Xero or via CSV (see this help for how this screen works).

If there are any unmapped accounts, they will appear in red and an applicable account can be selected by clicking the magnifying glass in the IRIS Account field.

  1. Once all adjustments are mapped click Import.

 

The following confirmation displays.

  1. Click OK.

 

The posting screen will be displayed with the MyWorkpapers adjustments:
