Time Ledger Instructions

Displayed are details of the time ledger instruction. For example, client details, references, matched postings.

 

To view a Time Ledger instruction:

  1. Enter the Time Ledger.

  2. Click Enquiries.

  3. Click on Account details.

  4. Type in a client, or click the magnifying glass.

  5. Highlight a posting.

  6. Click View.

The Time Ledger instructions screen displays.


The following fields are available:

Client - displayed is the client identifier and description that the instruction was posted for. For example, A001. Click the magnifying glass for further details of the client.

Job - for practices that elect to use Job types, displayed is the job type identifier for the instruction. Click the magnifying glass for further details of the job.

Date - displayed is the item date for the instruction. For example, 01/01/2004.

Billed - displayed is the value of the bill as entered on the credit note or invoice. (For credit notes this value will be negative)

Reference - displayed is the reference added to the invoice, write off or credit note. for further identification. For example, INV001 for an invoice.

W/0 - displayed is the value of WIP that has been written out with the instruction. For example, £800 of WIP has been removed with an invoice.

Recovery - displayed is the recovery of the invoice for the account.

Unabsorbed - for practices that display credit WIP as an  unabsorbed balance, displayed is the unabsorbed balance created by this instruction.

Write Out Details - displayed are the write out details selected when an invoice or credit note was posted.

These are also displays whether Time and expenses were selected to be written out with the invoice.

Value - displayed is the value of the write out instruction. For example, a write out to remove £1000.

From date - displayed is the date that the write out is from.

To date - displayed is the date that the write out to a date. For example, will be removed up until this date for this instruction.

Narrative - enter or edit a description for the instruction.

Posted by - displayed is the staff Identifier, date and time of the posting. For example, RP 01/01/04 16:04

Current - displayed is whether the instruction is current or not current. Click here for further details.

Period - displayed is the Time Ledger Period that the posting has been made into.

 

Update - to confirm changes made to the instruction click on the update button. For example, if the narrative was edited.

Reverse - to reverse an invoice, credit note or write off posted in the Time Ledger click Reverse. For example, if a manual invoice or manual credit note were posted incorrectly they can be cancelled by using the 'reverse' facility. Click here for further details on Time Ledger reversals.

 

Switch off - click to switch off an active instruction. Click here for the topic for switching off the instruction

Match A/C - to manually match the instruction against time postings click Match A/C.

 

Close  - click to exit.

Fees - to view details of the Fees Posting click Fees.

This option is available only for postings made within the Fees Ledger and have been passed to the Time Ledger. For example, if an invoice was posted in the Fees ledger

to write out WIP in the time ledger.

Posting - to view the posting the instruction has created click Posting. For example, if a write off puts a client account £200 in credit it has created a £-200

posting on the clients account.

Matched - to items currently matched to the instruction click Matched. Click here for the topic.

Reverses - when an Time Ledger instruction is reversed, a separate instruction (a reversed previous) is created. The reverses option is available for a 'reverse previous' posting to display the original posting that was reversed.

Extra criteria - when posting an invoice or credit note there is an option to filter the write out by staff member or work type. For example, to remove WIP for a specific staff member for an invoice. The extra criteria option displays these filters.

C/F O/U - the carry forward  over or under recoveries displays the carry forward posting created with the instruction.
