Time Ledger Posting

Displayed are details  postings made to the Time Ledger.This screen is used display details for timesheet, correction, expense, general adjustments, general expenses and opening balance postings. This also includes write out, write off and write back postings.

 

A time ledger posting screen can be accessed in many ways.

Below is one method:

Enter the Time Ledger

Click Enquiries.

Click Account Details.

Type the client (and job) identifiers in the fields provided.

Highlight the required posting.

Click View.

The Time Ledger Posting screen displays.

 

The following details are available:

Cient Id - displayed is the identifier and description of a client. For example, A001 and Mr. Armitage. Click the magnifying glass to display the client details

Job - for practices that elect to use Job types, displayed is the identifier and description of the job type. Click the magnifying glass to display the job details.

Work Type - for practices that elect to use work types, displayed is the identifier and description of the work type. Click the magnifying glass for further details of the work type.

Amount - displayed is the chargeable value of WIP for the posting. For example, £200.

Reference - displayed is a reference for the posting. References are optional, can be entered for invoice, write off and credit note postings.

Matched - displayed is the value of the posting that has been matched in the Time Ledger

Date - displayed is the posting date of the posting. For example, 010104.

Staff - displayed is the staff member that the posting was for. For example, a staff member RP posted here timesheet. To view a list of staff click the magnifying glass provided.

 

Charge rate - displayed is the charge rate identifier selected for the posting. For example, chargedrate 1. To view the monetary value of charge rate 1 click the magnifying glass provided.

Cost Rate - if you elect to use cost rates, Displayed is the cost rate select for the posting. For example, cost rate 2. To view the monetary value of the cost rate click the magnifying glass provided.

Time - displayed is time in hours and minutes for the posting. For example, 2:00 is two hours.

Cost - displayed is the monetary value of the staff costs. For example, a posting with a cost rate of £20 per hour and a posting for one hour will display a cost value of £20.

Expense category - displayed is the identifier of the expense category for an expense postings. For example, MIL for mileage. Expenses posted through expense postings, or general expenses will display an expense category.

Quantity - displayed is the quantity of expenses, when posted with a unit rate. Click here for further details of expense categories.

Cost - displayed is the 'cost' of the expense. For example, £400.

Narrative - add or edit a description for the posting. For example, book keeping with Clive.

Posted by - displayed are the staff identifier the date and the time. For example, RP 01/01/04 16:00.

 

The identifier refers the staff identifier of the user logged into Time & Fees when the posting was made. The date and time refer to the computer clock details when the positing was made.

Period - dsplayed is the Time Ledger period that the posting has been posted to. For example, 2004/10. I

Update - click Update to amend any changes made to the screen. For example, if a narrative has been edited.

Match A/C - click Match to match this posting with another posting. This option will not be available for postings that have been updated to the Time Ledger. Click here for further details.

Close - click on the close button to exit.

Remove unused Credit - click Remove CR to remove unused credit on this posting. Click here for the topic for removing credit WIP with this posting.

Matched - to display the details of matching for the time posting click Matched. Click here for the help topic.

Timesheet - to view a summary of a timesheet click on the timesheet button. For example, to display other postings made into the timesheet.

Instruction - shows the instruction that is linked to the posting. Click here for the topic displaying the instructions linked to this posting.
