General Postings report (Options)

The general postings report is a Time Ledger report that displays WIP postings.

 

To access the general postings report:

  1. Log into the Time Ledger.

  2. Click Reports.

  3. Click General reports, a sub-menu displays.

  4. Click Postings.

The Options screen allows you to define system constraints for the General Postings reports.


The following options are available:

Period Selection

Select one of the following options to set the time-scale for the report:

Current Periods - when selected posting made between the earliest and latest current periods will be displayed.

Period in reconciliation - when selected postings made into the period in reconciliation will be displayed.

Click here for the reference for Time Ledger Periods.

Selected Period - select and the field to the right will become available. Here, enter the requried Time Ledger period to be reported on.

Period Range - select and the fields 'from' and 'to' become available. Here you can enter the start and end of a period range that the report is to be run for.

Date Range - select and the fields 'from' and 'to' become available. Enter into these fields the start and end dates that the report is to be run for.

All Periods - select to all periods to display postings made into all periods.

Revalue unmatched WIP as at todays date

Select this option will calculate WIP values on unmatched WIP, based upon today's charge rate value. For example, if a staff member had a charge rate of £20 per hour in January and this was increased to £30 per hour in February, the report will display this value as £30 (providing it is not matched).

This may be used for pre-billing, if it is required to bill a client any unbilled WIP with the current chargeable value.

Show b/fwd posting (s) in earliest period

This option will place postings from all previous periods into the earliest period selected. For example, if the report is run for 2005/1 to 2005/6 and postings were made into 2004/12, all postings made into 2004/12 will be included within 2005/1.

This option can be advantageous when it is neccessary to view postings within a certain period range, but do also want to see the affect of previous postings on the same report. For example, to view totals of WIP for each period of 2005/1 but to display the brought forward balances for the previous year.

Level of detail

The Level of detail option relates to the first sort criteria that is selected under the Order tab. On the general postings report there are two options:

One line per time postings

Each posting on a client that satisfies the Selection criteria will be displayed on a separate line on the report. For example, five postings for client A001 will be displayed on five lines.

Summary subtotals only

Every client that satisfies the Selection criteria will be included in the report. The information will be subtotalled by the first sort criteria selected under the Order tab. For example, if the first sort criteria selected was Partner, the values for all clients a partner is responsible for will be added together for each Column included on the report. One line of totals would then be printed for each of the partners registered on the system.

Include

Select the items below to set the items included on the report:

Postings to client jobs - select to include postings made to clients, or client job (if you elect to use job types).

Ensure either 'postings to client jobs or 'postings to non-charge activities' are selected.

Postings to non-charge activities - select to include non-charge activities.

Ensure either 'postings to client jobs or 'postings to non-charge activities' are selected.

Postings on time ledger - select to include postings updated to the ledger.

Ensure either 'postings on time ledger' or 'pending postings awaiting next update' are selected.

Pending postings awaiting next update - select to include pending postings.

Ensure either 'postings to client jobs or 'postings to non-charge activities' are selected.

Matched postings - select to include postings that have been matched.

Ensure either 'matched postings' or unmatched postings' are selected.

Unmatched postings - select to include items that have not been matched.

Ensure either 'matched postings' or unmatched postings' are selected.

Time Postings - select will include time postings. For example, 2hours on client A001.

Ensure either 'time postings', 'expense postings' or 'postings arising from instructions' are selected.

Expense postings - selecting this option expense postings will be included on the report.

Ensure either 'time postings', 'expense postings' or 'postings arising from instructions' are selected.

Postings arising from instructions - selecting this option postings arising from instructions will be included. This includes interims, write outs, write offs, Carry forwards, Bought forwards and write backs.

Ensure either 'time postings', 'expense postings' or 'postings arising from instructions' are selected.

Timesheet postings - selected this option time and expense postings that were posted into a timesheet will be included on the report.

To run the general postings report ensure either 'postings arising from instructions', 'timesheet postings', 'corrections', 'Opening balances' and 'other postings' are selected.

Corrections - select to include postings made via timesheet corrections.

To run the general postings report ensure either 'postings arising from instructions', 'timesheet postings', 'corrections', 'Opening balances' and 'other postings' are selected.

Opening balances - select to include Opening WIP balances ensure this options is selected.

To run the general postings report ensure either 'postings arising from instructions', 'timesheet postings', 'corrections', 'Opening balances' and 'other postings' are selected.

Other postings - click to include general adjustments and general expenses.

 To run the general postings report ensure either 'postings arising from instructions', 'timesheet postings', 'corrections', 'Opening balances' and 'other postings' are selected.
