From the Company Secretarial menu bar select Client | New
Two options are available, to enter a new client to be added to the IRIS database or to search the database for a client. Select the new client to be added to the IRIS database option and click Next.
Enter a Business name of Tutorial Limited.
Move to the Type of Business field. The system will select Limited Company and then the type of limited company for example, Limited by Shares, Limited by Guarantee and so on, Limited By Shares will automatically be selected by virtue of "limited" being in the name..
The Description field is for sole traders and partnerships where a description of the business must be entered on the self assessment return so it need not be completed for this business.
Leave the Trading dates fields re incorporation, commencement of trading and cessation of trading blank as the company has been trading for a long period of time. In the first year of trading the trade commenced date should be completed so that Accounts Production can correctly describe the period covered by the accounts.
Enter the Address of the company as follows:
Remember it is possible to use the tab key to move between fields on the screen rather than having to move the mouse cursor to each field.

This is usually used as the registered office address on the company information sheet in the accounts.
Once this screen is correct click Next.
In following screen, staff and groups can be assigned to the client, click Next.
IRIS will display the new client details, click Finish.
At this point IRIS will ask for an identifier to be entered for the new business, enter TUTORIAL1 and click OK.
If the Automail option appears, click Cancel.
The business details have now been entered and IRIS will now prompt whether to go into the involvements maintenance to enter the people involved in this business (directors, secretaries and so on). Click Yes.
The Client Involvements screen displays, click New.
The Directors screen displays; click the magnifying glass next to Director.
A list of people already set up on the system should appear. Click New, the Adding New Personal Client screen displays, click Next.
Fill in the first director’s name as shown below.
Surname Smith
Title Mr
Forenames Charles
Notice that the Initial and the Sex will be completed automatically based on the Forename and Title entries.
Leave Date of birth blank.
Enter the Address as follows:

Once satisfied that this screen is correct, click Next.
The following screen gives the opportunity to assign staff and groups to the client, click Next. IRIS will display the new client details, click Finish.
At this point IRIS will ask for an identifier to be entered for the new person, enter SMITH and click OK.
A screen will appear saying the new client has been created but not registered with any particular IRIS service. Click OK.
The Automail screen will appear, click Cancel.
The IRIS Personal client screen will be displayed, where the client details can be amended if necessary and further information added, click Close.
Highlight the director which has just been setup and click Select, his ID will appear on the Director screen.
The fields for dates Started and Ended can be left blank if the director did not start or end his appointment in the current accounting year. Dates entered in these fields are used in the directors’ report and are used to generate the relevant forms. Enter 01/01/2003 as the directors Start date. Make sure that the 'record on history for affected client(s)' is ticked.
The Accounting order field MUST be completed or the accounts will not be generated. The Accounting order field is used to:
Determine the order in which the directors are disclosed in the directors’ report,
Allow postings to be made against this director.
Mr Smith will be number 1 in the accounting order so he appears first in the list in the directors’ report.
On this screen it is possible to insert the Occupation and Company Reference, when this screen is complete click OK. This will bring up the Client Involvements screen and Mr Smith should appear on this screen.
The second director should be set up, from this screen click New. Use the tutorial notes above from ‘Directors’ names’ onward as a reminder for how to enter all the details.

His identifier will be CHURCHILL.
His accounting order will be 2.
Once back at the Client Involvements screen we will need to enter the Secretaries details, click the Secretary tab then click New, this will display the Company Secretary screen, the business name and identifier should be displayed at the top of this screen. Click the magnifying glass in the Secretary field. Mr Churchill is going to be the Company Secretary so type CHURCHILL in the Client Identifier box and press Enter, Mr Churchill should be highlighted, select him. He was the Company Secretary since the beginning so leave the From and To boxes blank, make sure 'record on history for affected client(s)' is ticked and click OK. On the Client Involvements screen click Close.
The company should now be setup with two directors.
IRIS will now prompt whether to log the formation of the company to the client history. Click No. The company has been running for a long period of time and the Company formation forms will have already been filled in and sent to Companies House.
A new window will appear prompting whether to register the client as a Company Secretarial active client. Click Register.
The IRIS Business Client screen will be displayed. In the Registered Number field enter 123456789 then click Save | Close
The client is now setup. To select this client in Company Secretarial click on Client | Select. The Clients screen should appear make sure that the Database View has Whole Practice selected. Tutorial should be selectable from the list.
From the Company Secretarial menu screen click Client | Select
From the Clients screen make sure the Database View has Whole Practice selected.
Highlight the client to be bridged across and click Select. This client will be selected within Company Secretarial.
Go to Edit | Share Register. The Share Register bridging prompt screen will appear.
Click Yes. The Copy Share Register Information screen displays click Yes.
After the bridging is complete click Close.
The Share Register will appear with the share capital information from Accounts Production.
